Reconciliation in Colombia
The Electronic Tax Document (DTE) reconciliation feature in Colombia is designed to verify the correct issuance and receipt of these documents, contributing to compliance with current tax regulations. Through this process, it is possible to compare the information registered with the National Tax and Customs Directorate (DIAN) against the DTE issued and received by the company, ensuring the consistency and reliability of tax information.
This tool makes it easier to identify missing documents or those whose status shows differences, allowing you to act in a timely manner to correct possible inconsistencies. It also offers the possibility of synchronizing directly from the DIAN the DTE that are not available on the platform or whose information does not match, optimizing document control and strengthening a more efficient and transparent tax management.
Regarding the legal framework, for received documents, the buyer or purchaser has a maximum of three (3) business days from the receipt of the good or the provision of the service to expressly accept or reject the electronic document.
The reconciliation process applies to all types of Electronic Tax Documents. However, due to the critical and confidential nature of the information contained in Issued Payroll Electronic Tax Documents, an independent reconciliation has been implemented for this type of document.
This separation responds to privacy, security, and data governance criteria. Access to Electronic Payroll reconciliation is restricted exclusively to users with explicit permissions to view this type of document, who will be able to run and query only the reconciliation corresponding to Issued Payroll. This protects the confidentiality of sensitive information, such as salaries, deductions, and withholdings, preventing it from being accessible to accounting or administrative profiles that do not require such information to perform their duties.
From an operational standpoint, the process of activating, configuring, and running the Electronic Payroll reconciliation is equivalent to the one used for the rest of the DTE. The only difference is that the scope of the process is limited exclusively to Issued Payroll documents, keeping the same user experience and the same validation and synchronization mechanisms with the DIAN.
