Configuration

Before issuing invoices, you must configure your invoicing tool to adapt it to your company's needs as an issuer.

Configurations

The initial configurations can be modified at any time from the Configurations module.


Home panel

On the home screen of the global invoicing tool, you will find the following elements:

  1. Main menu. One of the ways to navigate the portal.
  2. My plan. Check the active plan type. Press View my plan for details.
  3. My certificates. Displays the registered certificates. Press View my certificates.
  4. My catalogs. Summary of catalogs and number of records.
  5. Financial flow. Report of documents issued in the last quarter.
  6. My issued documents. Number and type of documents from the last quarter.
  7. Store. Access it to upload payment receipts for your plan.
  8. Notifications. Number of notifications with a summary.
  9. Account. Menu from which you can:

a. Review your account data.
b. Enter the configurations module.
c. Log out.
  1. Company identifier. Company whose session is active. If you have more than one associated company, you can switch from this tab.
  2. Help. Access to frequent topics and questions from other users.

  • a. To search for a specific topic, you can use the search bar.
  • b. If your query does not match any of the topics shown in this section, you can go to the Request Help section, where you can enter the details of the incident that occurred in your portal.
  1. Log out.

Initial configuration

Before you start issuing invoices, configure your invoicing tool:

  1. Press Finish configuration.

The configurations we will see below can be changed later in the Configurations module.


General information

A form with the general data from your registration will be displayed:

  1. To upload your company logo, press Change logo and select the file containing your company logo from the file explorer.
  2. Select the taxpayer type to which the registration belongs. This can be a natural person or a legal entity.
  3. Verify the Single Taxpayer Registry (RUC) number saved during the initial registration.
  4. Enter the verification number of your RUC.
  5. Enter the name or business name of the registration.
  6. Verify the country to which the RUC of the registration belongs.
  7. Select the location data.
  8. Enter your company's contact data.
  9. To update this information, press Save.

Affiliation request

Before issuing electronic documents, you must submit the affiliation request to the tax authority.

this procedure does not apply to users who already have an account for the Gosocket portal

  1. The system will trigger a notification.
  2. The affiliation status will be displayed.
  3. Press Query QR.

  1. If you do not have a QR assigned, you will need to request it from the DGI. For this process, the DGI requests the following data:
    • General data (Name, RUC and Company address).
    • Sworn statement to adopt electronic invoicing (Form 1043-0).
    • Electronic signature certificates. Once you have it, enter it in the field displayed when you press Query QR.
  2. When finished, press Save.

Affiliation request status

  1. The notification that the affiliation has been successfully completed will be displayed.

Once the company has completed the registration in the system, it can modify its data from the Configurations module by pressing Edit.

Certificates

Within the Certificates tab, you can upload the certificates to start issuing invoices from the ioFacturo portal. To start this process, we provide the following instructions:

  1. Press the Certificates tab.
  2. Press the New button.

  1. Press the Certificate field and select your certificate file.

Within your file explorer, select your certificate file, which will be in .pfx or .p12 format.

  1. Enter the certificate password.
  2. Press Save.

Branches

From the Branches tab you can register, query and modify your company's branches.

  1. Branch identification code.
  2. Branch name.
  3. Number of invoicing points per branch.
  4. Status of the branch record:
    • a. Active
    • b. Inactive
  5. When you press the button, the following options will be displayed:

Edit the record.
Delete the record.
View Detail of the record.
  1. To make it easier to locate a branch record, you can use the search bar.
  2. To register a new branch, press New.

  1. Enter the code that will identify the branch.
  2. Enter the branch name.
  3. Select and enter the branch location data.
  4. Enter your company's contact data.
  5. Enter the data of the first invoicing point that will be located within the branch.
  6. To add a new point of sale within this same branch, select Add point and enter the data of the new invoicing point.
  7. When finished, press Save.

Users

To manage users you need an Administrator profile.

  1. Select the Users tab.
  2. Press the New button.

  1. Enter the full name of the new user.
  2. Select the profile type:
    • Administrator: full configuration, issuing and management permissions.
    • Operator: permission to issue invoices and query catalogs.
    • Query: can only view and query documents.
  3. Enter the contact data of the new user.
  4. Select the avatar of the new user.
  5. Press Save.

  1. A notification that the user was registered successfully will be displayed.

Once the registration is complete, all uploaded users will be displayed:

  1. User name.
  2. User registration email.
  3. User profile type.
  4. User status, which can be:

  1. Within the three dots, you will find a menu to carry out actions such as:
Action menu for a usera. Block: the user is temporarily suspended within the platform, so they cannot access it.
b. Deactivate: the user will no longer be able to access the platform for an indefinite period.
c. Edit: modify the user's information.
